We only keep what we need to put a visit on a calendar.

Plain language. This is a scheduling tool, not a clinical record.

What this site is

ScheduleAVisit helps a client pick a time with a counselor, or with a trusted colleague if that counselor is full. That is the whole job. We do not store session notes, diagnoses, treatment plans, or anything you would write after a visit.

What we store

• Your name
• Your email
• Your phone number, if you type one in
• The appointment time
• Which counselor the visit is with

Providers also have an account (name, email, username, password, office address, weekly hour cap, and the colleagues they trust). Login uses a cookie so they stay signed in.

If a provider connects Google Calendar, we keep a refresh token so we can read busy time on the calendars they pick and add, move, or remove the visits booked here. Google events we write include the client’s name, the time, and whether it is a consult or a session. We do not put clinical notes on Google.

Missed first-visit fee

A therapist may turn on an optional fee for a missed first visit or intake. If they do, the booking page shows the amount and how many hours ahead you must cancel. You save a card on Stripe’s site. You are not charged then.

The therapist can charge that card the amount you agreed to, once, if they mark the visit a no-show or you cancel inside that window. The money is paid to the therapist. Stripe emails the receipt. We store Stripe’s customer id and payment-method id for that visit, not the card number. We do not bill insurance or copays, and we do not charge for the visit itself.

Referral fee

When a first booking comes from a colleague’s referral, we record the fee, how it is split, both therapists, the visit, and Stripe’s charge and transfer ids. We do not store a card number for this fee. The client is not charged this amount.

What we do not claim

We are not a HIPAA product. We have no Business Associate Agreement (BAA). Do not put clinical notes here. If you need a HIPAA-covered system, use one that signs a BAA.

Where it lives

The app is hosted on Render. Data sits in the database that service keeps for this site.

Cookies

We use a login cookie so a provider can open the dashboard without typing a password every time. Clients booking a visit do not need an account.

We do not sell your data

We do not sell names, emails, phone numbers, or visit times. We do not run ads against this list.

Ask us to delete it
